📬 How do I manage my planned posts?

How to view and manage all your upcoming posts in one place

Post Planner gives you several ways to manage your planned posts.

Your “Planned” screen is where you can see and edit every post you've queued or scheduled, all in one place before it goes live.

TIP: Your “Planned” queue fills up from your Buckets and Posting Plan, so it's best to set those up first.

You'll see 2 types of posts here:

  • Queued posts — posts added to your Posting Plan that will publish according to its time slots.

  • Scheduled posts — posts you've manually scheduled to publish at a specific date and time, outside of your Posting Plan.

🔍 How to FIND the exact posts you want

1. Get to your planned posts

Go to the "Posts" tab and click "Planned".

2. Filter by social profile

Check and uncheck your accounts to show only the posts planned for specific profiles.

3. Search by keyword

Type in the search field to quickly find a planned post by keyword.

4. Filter by post type or content type

Click the filter icon to narrow your list by post type (queued vs scheduled) or content type (images, videos, links, text).

5. Show or hide slots and recycled posts

Click the gear icon to choose whether you want to show empty time slots and recycled posts, so your list is as clean or as detailed as you want.

✏️ How to EDIT, copy, share, or delete a post

Click the three dots on any planned post to open its menu, then pick an action. You can edit, copy, publish, or delete it.

6. Edit a post

Select "Edit Post" to open the post in the Composer, where you can change its caption, media, or scheduled time.

Note: For queued posts, you can move their placement in the queue. You can only edit the exact scheduled time for a specific post if the post was a scheduled post.

For a queued post, review its recycling settings if needed, then click "Finish editing" to save your changes.

For a scheduled post, you can also update its posting date and time or repeat settings before clicking "Finish editing."

Or you can click on "Close" to exit the Composer without saving changes.

7. Duplicate a post

Select "Copy Post" to duplicate it.

Then choose where and how you want to add the copy:

  1. Drop the copy into a Bucket from the dropdown, or leave "No bucket" selected.

  2. Select the profiles you want to add the copied post to.

  3. Choose any additional options:

    • "Delete original posts after copy" removes the original post after the copy is created.

    • "Add posts to top of queue" places the copied post at the top of the queue.

  4. Click "Duplicate and add posts" to create the copy, or "Cancel" to exit without making changes.

8. Publish a post now

Select "Share Now" to publish the post immediately, instead of waiting for its planned time.

9. Delete a post

Select "Delete Post" to remove it from your planned posts.

10. Recycle a queued post

Click the recycle icon on a post to automatically publish the same post again after its first time through your queue. Choose whether to recycle the post forever or for a set period or a set number of times.

↕️ How to REORDER your queue

Want to change which queued post goes out next? You can move posts directly from the "Planned" screen.

11. Move a post to the top or bottom

Use the arrows on a post to send it straight to the top or bottom of your queue.

12. Drag and drop

Drag and drop any queued post to place it exactly where you want it.

☑️ How to MANAGE posts in bulk

Bulk actions let you make changes to several planned posts at the same time.

13. Select multiple posts

Use the checkboxes to select several posts at once, or select all at once.

14. Choose a bulk action

Click the "Bulk action" button to shuffle, recycle, copy, or delete all selected posts at once.

TIP: Shuffling posts can help mix up your queue when similar posts end up next to each other, making your posts feel less repetitive to your audience.

15. Turn on Preview

Flip the "Preview" toggle on to see exactly how each planned post will look once it's published.

Alternatively, click a post to view the preview and edit it.

Click "Close" when you're ready to return to your planned posts.

You can switch between List, Calendar, and Grid views depending on how you want to review your upcoming content.

16. View your posts as a List

List is the default view. It shows your planned posts in order so you can scan through your queue from top to bottom.

17. View your posts on the Calendar

Click "Calendar" to see your posts laid out across the week or month. Toggle between the weekly and monthly views, use the arrows to look ahead, or click "Today" to jump back to the current date.

18. View your posts as a Grid

Click "Grid" for a clean visual layout of your planned posts.

TIP: When you filter to an Instagram profile, Grid view also shows you how your feed will look once those posts are published.

📅 What to do NEXT

Once everything in your "Planned" screen looks good, Post Planner takes care of publishing your queued and scheduled posts at the right time.

After your posts go live, head to the "History" tab to review and reuse your published content.
